The Challenge
Regus, a global leader in flexible office solutions, wanted to improve how front-of-house teams across its UK business centres managed inbound email communications. With inconsistent processes and previous Office 365 initiatives not delivering results, Regus turned to Mustard IT for expert guidance on implementing a modern, cloud-based approach and optimising internal workflows.
The Solution
Mustard IT provided strategic and practical support aligned with a Modern Cloud Workspace model. Consultants visited multiple Regus centres to observe how reception staff handled daily email volumes and customer queries. These observations highlighted key differences in communication flow, staffing, and task ownership.
We mapped out best-in-class workflows for handling incoming emails, focusing on core actions such as first response, delegation, calendar scheduling, and escalation. Mustard IT then recommended practical steps to bring consistency across locations using built-in tools within Office 365, including rules, categories, and visual prioritisation methods.
To support adoption, we also developed a quick-reference guide tailored to the Regus team’s environment and day-to-day operations.
